Search for ERAs on the ERA Worklist
Open the Billing module and select “ERA Worklist” in the Posting section (located in the left menu). Click “Search” to display all Electronic Remittance Advice (ERA) records – regardless of payer, patient, status or date. To narrow the results, specify a payer, patient, posting status (such as “not posted”) or the date you received the ERA.
Displays results in reverse date order. ERAs that have already been posted or were marked as processed will appear with a green background. ERAs that have not posted will appear with a white background.
Review the ERAs
You can review the payment details within an Electronic Remittance Advice record in two ways:
Inline Summary Grid: Click the “+” symbol on the far left of the row. This opens the selected ERA to display a summary grid containing the claim number, patient name, billed amount, paid amount and status. Click the “+” symbol to collapse the grid for that row.
View ERA Detail: Click “View Report” on the far right. The full ERA report containing a complete explanation of benefits will open in a new window.
Mark Manually Processed ERAs
To manually post an ERA, click the “Mark” button to label it as “processed”. This simply changes the row color to green so you can visually identify it as a row to which you do not want to auto-post. Note: Records that have been marked as “processed” still display a Post button. You can unmark the row and return it to its original state with the Unmark button.
Select ERAs for Auto-Posting
Click the “Post” button in the row you want to process. This posts the appropriate amounts to each patient’s account and claim based on ERA details. When you finish posting, the background will turn green and the button will change from “Post” to “Revert”. If you want to undo the automatic posting, click “Revert”. This will reset all affected accounts to the pre-posting state.
Note: If the ERA contains claims with zero payments, a pop-up window will prompt you to fix them: Post All, Skip All and Rebill, Skip All or Cancel.
View Payment and Posting Details
Click the payer name on the payment you want to view. This opens the Payment Detail screen. Do not make changes on the Payment Detail screen. Continue to the Posting Details by clicking the “Apply” button at the bottom of the Payment Detail screen.
Working with Auto-Posted Insurance Payment Details
The Insurance Payment tab displays a list of patient accounts to which the payment was posted. If there are multiple patients associated with the payment, the screen defaults to displaying details for the first patient in the Patient Name list. To view details for a different patient, click that patient’s name in the Patient Name list.
If there are multiple claims for the selected patient to which the payment was applied, those will be displayed in the Claims list to the right of the Patient Name list.
To view the results of a different claim, select that claim from the list. At the claim level, you can manually modify the amounts, adjustments, copay, deductible, co-insurance, and patient responsibility information
Viewing the Breakdown of Auto-Posted Insurance Payments
To view all patients and claims to which the payment was auto-posted, click the “Insurance Splitup Detail” tab.
Working with Patient Payment Details
Click the “Patient Payment” tab to display details for the patient you selected in the Patient Name list. From here, you can apply any copays or co-insurance. To move to the next patient, return to the Insurance Payment screen and select the desired patient in the Patient Name list.
Viewing Auto-Posted Payment Details on the Patient Ledger
To view posting details on the Patient Ledger, open the Billing module and select “Patient Ledger”. Select the patient by name from the dropdown list. The info symbol, located next to the claim number on some rows, indicates the presence of comments and/or additional information about that claim, including whether the claim was auto-posted electronically.
